GHI’s 2021 Annual Membership Meeting is almost here so get ready to vote!
As reported in the April 26, 2021 issue of GHI E-News, there are 7 candidates for only 5 open positions on the GHI Board of Directors so voting is crucial to our community’s future. You can vote even if you have only one favorite candidate.
Also, as of April 26th, there were just enough candidates to fill all 5 open positions for the Nominations & Elections Committee. The Audit Committee still needed one candidate to fill its 3 open positions.
I registered to attend the GHI Annual Membership Meeting and read the meeting packet to learn more about how to vote for this year’s slate of candidates. Below are excerpts from the packet that I found especially useful.

Update your email address if you have not yet received a GetQuorum registration email to attend the Annual Meeting through Zoom. You can use the online form at https://www.ghi.coop/content/member-information-update-emergency-contacts or request and submit a paper form to the GHI office.
After 5:00 PM on Friday, May 7, any member who needs to contact GHI because they did not receive the GetQuorum registration email should send a message to email@example.com.
May 7 to May 11, 2021
Members can obtain an absentee ballot from the GHI office.
May 7, 2021
5:00 PM Proxy forms are due in the GHI office.
May 8, 2021
5:00 PM Remaining proxy forms are due to Board Secretary Ed James (56-D Crescent Road).
May 11, 2021
5:00 PM Completed absentee ballots are due in the GHI office.
May 13, 2021
7:30 PM Annual Membership Meeting begins.
- Voting for the Nominations & Elections Committee is completed during the meeting.
- Voting (online and in-person) for the Board of Directors and Audit Committee begins after the meeting goes into recess.
May 14, 2021
12:00 AM to 12:00 PM Online voting continues until 12:00 PM.
4:00 PM to 8:00 PM In-person voting resumes outside the GHI office.
Vote Before the Meeting
Editor’s Note: If no member in your household (a person listed on your Mutual Ownership Contract) can attend the Annual Meeting, you can give your proxy to another GHI member who will attend. That member can register your vote on business matters and elections conducted during the meeting.
Absentee ballots are another way to participate in elections if you cannot attend the Annual Meeting but they DO NOT record your vote for/against motions. For example, at the 2018 meeting, members were asked to vote on a motion to protect GHI woodlands. You could not register your vote unless you were at the meeting or submitted the paperwork to give your proxy to another member who was at the meeting.
The Nominations & Elections Committee has made the following arrangements to enable members to cast ballots in-person with minimal social contact:
Absentee Ballots: Members can receive an absentee ballot by obtaining an application from the GHI office May 7th – May 11th and returning it to the Director of Member Services at the GHI Management office by 5:00 PM on Tuesday, May 11th.
Proxies: Members can designate a proxy to vote on their behalf for the annual meeting and election by obtaining an official proxy form from the GHI Management office or the Board Secretary Ed James (56-D Crescent Road). Members must return their proxy to the GHI office by 5:00 PM on Friday, May 7th or by 5:00 PM on Saturday, May 8th to Secretary Ed James. Note that a member can carry no more than one proxy.
Vote During the Meeting
Important! Please note that if you dial into the Zoom meeting by telephone, you will not be able to participate in live voting.
Live voting will take place on items such as approval of minutes for the 2020 annual meeting, motions from the floor, and election of members to the Nominations and Elections Committee.
Members attending the in-person meeting will be issued voting cards upon arrival at the meeting. Polling at the in-person meeting will be done by a “show of cards” vote.
Virtual meeting participants will see a polling window pop up on the screen of your computer or smartphone which will allow you to register your choice of vote. The virtual meeting may also include online voting using a link emailed to each member, with a period of time during the meeting for members to cast votes.
Vote After the Meeting
Voting on Thursday, May 13, 2021
Members attending the in-person meeting will be able to cast ballots for the Board of Directors and Audit Committee elections immediately after the meeting recesses.
Virtual meeting participants and members with an email address on file with GHI will receive an email from GetQuorum (check your junk mail/spam folder) with a voting link to cast an online ballot for the Board of Directors and Audit Committee elections.
Online voting will be available from the time the meeting recesses on Thursday night until 12:00 PM on Friday, May 14, 2021.

Online voting continues until 12:00 PM.
In-person voting will also be conducted outside the GHI Management Office from 4:00 PM to 8:00 PM. All members casting ballots in person must wear a face mask that fully covers their nose and mouth at all times and practice social distancing. The following members will be ineligible to vote during this time:
1. A member who has designated another member as their proxy;
2. A member who has submitted an application for an absentee ballot; or,
3. A member who has voted online.
